Project Administrator

• Sets up and maintains the project office
• Performs all administrative and clerical duties for the site team
• Answers all incoming phone calls and takes messages
• Processes incoming/outgoing mail
• Orders office supplies and ensures adequate supply is maintained
• Ensures office equipment is maintained in good working order
• Performs all administrative duties and support for site
• Ensures proper permits are obtained, relative to project requirements
• Types, files and distributes forms, correspondence, etc. from project start-up to project closeout.
• Reviews Project Orientation packages with all employees
• Maintains and tracks new employee safety orientation sign-off sheets, parking log, and drug testing log etc,
• Provides payroll with the required paperwork and information
• Assist in tracking, monitoring and analyzing productivity data where applicable
• Forwards appropriate purchase order requests to purchasing as required and follows-up in expediting the materials required
• Forwards appropriate paper work to tools and equipment as required and follows-up in ensuring the equipment required has arrived on site
• Maintains the filing system for contract documents in accordance with auditing procedures
• Enters drawings on excel spread sheet, as well as copying and distributing drawings as required

Experience
• 3-5 years construction site experience an asset

Education
• Post Secondary degree/diploma in business administration or equivalent combination of education and experience

Skills, Abilities & Knowledge
• Strong attention to detail and proof reading skills
• Excellent organizational, analytical and customer service skills
• Excellent communication skills, both written and verbal
• Punctual and dependable
• Intermediate skills in MS Office products – Excel and Word
• Ability to work under pressure with multiple deadlines
• Ability to work independently and as a team member
• Ability to handle multiple projects at the same time with excellent follow-up skills
