| Administrative Assistant Administrative Assistant Location: Toronto, ON Halsall's consultants plan, design and manage projects for architects, building owners and managers. This includes structural and cladding engineering, sustainable design management, restoration engineering, and capital planning. Founded in 1956 to provide clients with personalized engineering services, Halsall now includes more than 250 employees at six offices. Job Summary: • Provide administrative support to Project Managers • Prepare documents including engineering specifications, reports, contracts, and letters • Administer contract-based documentation such as addenda, bid requests, certificates for payment, change orders, and certificates of substantial performance • Provide general clerical and administrative support (e.g. reception, word processing, data entry, etc.) • Apply a high-energy work style to meet project deliverables and accept responsibility for outcomes • Operate within time constraints and standard documentation practices • Assist in the distribution of work loads between all Administrative Assistants • Train and mentor new team members in standard work procedures and practices • Make contributions to knowledge management and quality control practices • Perform additional support duties as required; maintenance of knowledge and master documentation files, and database records Qualifications: • 3 years experience as an Administrative Assistant in a fast-paced, deadline-oriented environment • Proficient in software applications such as Word Perfect, Excel, Word, ACDC, Corel Photo-Paint, Adobe Acrobat (experience with Adobe 7 is an asset) • Exceptional written communication skills • Effective communication skills including verbal and presentation skills • Proven ability to work effectively independently and in a team-oriented environment • Demonstrate the willingness to be flexible and adaptable to changing priorities • Strong multi-tasking and organizational skills • Proven ability to meet deadlines • Prior experience in a professional services or engineering consulting environment is an asset At Halsall, we have created an environment where our consultants achieve best of class in service delivery.
