Property Administrator

The Property Administrative Assistant, reports to the Facility manager, and is responsible for providing clerical and administrative support for the property team in order to ensure that operational services are provided in an effective and efficient manner.

Description:

Receive, direct and deliver telephone messages and fax messages

Direct clients & visitors to the appropriate staff member

Incoming Mail: Receive & distribute internal & external mail, sign for, prepare & distribute courier packages, open and date stamp all general correspondence

Assist in the planning and preparation of meetings, conferences and conference calls

Coordinate Operations meetings and take minutes & ordering of refreshments

Maintain an adequate inventory of office supplies:

Ordering of kitchen supplies, prepare checklists.

Assist in the preparation of letters, presentations (various) and spreadsheets as required

Assist FM with budgeting, reporting & Tenant Relations.

Assist Portfolio Manager & Ops Manager when requested to do so.

Assist with the preparation of the Annual Budget, BMP and other related reports when requested to do so.

Qualifications

Minimum 3 years’ related experience in administration

Exceptional customer service and interpersonal skills

Proficiency in Microsoft Office, including Word, Excel, and PowerPoint

Strong organizational, planning, and time management skills

Ability to gain security clearance

Experience working in Property Management environment is an asset
