| Executive Assistant Executive Assistant Our client is a progressive global oil and gas service company seeking an experienced Executive Assistant who will provide complex, senior level administrative support to the Executive Team (President, C.O.O., and C.F.O.). This role will be instrumental in developing corporate processes and structure which will ensure proper business operation support. The ideal candidate will be professional, polished and proactive, with the ability to anticipate administrative business venture requirements which may arise. Responsibilities: • Manage Executive Team schedules, as well as organize and coordinate meetings and other business functions • Facilitate all Board and Board Committees meeting logistics including preparing and distributing agendas, briefing materials, notifications and meeting minutes • Arrange all flight and travel accommodation • Draft and modify professional quality business documents • Assist with proposals and presentations (creating/editing PowerPoint documents, including tables, spreadsheets and graphics from different sources) • Assemble and summarize data for reporting, as well as internal and external communication purposes • Oversee all corporate legal documents such as annual returns, director and shareholder’s resolutions, as well as investor/shareholder relations • Execute administrative duties with accuracy and efficiency including record management, expense reports, correspondence, etc. • Identify, plan, and oversee various administrative office projects • Maintain superior standards and appropriate level of confidentiality when completing all tasks • Possess ability to multi-task and adapt to continuously changing demands, while maintaining productivity Qualifications: • Minimum 10 years experience in a demanding EA role assisting senior management • Post-secondary degree or diploma • Superior proficiency in Microsoft Office (Word, Excel, and PowerPoint) • Solid judgment and priority management skills | |
