The possibilities are unlimited. Imagine a career as the Executive Assistant to the Vice President, Finance & Corporate Services at TransLink. Reporting to the Vice President, Finance & Corporate Services, the Executive Assistant is responsible for providing administrative support to ensure the efficient operation of the VP’s office on a day-to-day basis. Responsibilities: • Managing the Vice President’s schedule and proactively providing updates on schedule changes • Acts as the communication link between the Vice President and the divisional senior staff and as a liaison between the Vice President and external clients. • Ensures a timely flow of information through the Vice President’s office. • Reviewing and summarizing information directed to the Vice President’s office and bringing forward items for his attention • Ensure correspondence and inquiries are responded to in a timely manner and track incoming and outgoing correspondence • Prepares drafts of correspondence and reports for the Vice President’s signature • Organizes meetings and follows up on action items; • Recording, transcribing and distributing minutes and action items for meetings • Prepares budget for the Vice-President's office • Generating various reports using PeopleSoft, Excel, and Word • Creating presentations using PowerPoint • Maintains office, filing and recording systems and administrative supplies • Managing the filing system, document retention, and archiving files Qualifications: • Administrative Certificate or equivalent education and experience • Minimum of five years in a senior administrative capacity, preferably three – five years supporting at an Executive level • Strong administrative and organizational skills • Excellent written and verbal communication skills. • Understanding budgets and financial terms would be an asset • Ability to foster and maintain effective relationships with all levels of staff and Union business representatives • Advanced knowledge of Word, Excel and PowerPoint is required • PeopleSoft (or an equivalent Human Resource Information System) is an asset • Highly motivated and takes initiative to solve issues • Demonstrated record of achievement delivering projects that show your ability to successfully plan and multi-task HOW TO APPLY: To be considered for this position, all applications must be received via the Translink Website.
